How long does it take to roll out?

Roll out depends on a number of factors and mostly has to do with making sure that your licensing and provisioning workflow is ready, and the room infrastructure design and implementation partner is on board. Frequently, there can be many difficulties in implementing the technology if the AV infrastructure is not coordinated with IT, Facilities, and the Design team. We would estimate that infrastructure planning is about (2) weeks of coordination and communication planning. And the onsite wiring and build out of the project can take 2-4 weeks of time whereby the room will be out of service.

Can we use our existing equipment?

Teams is something that can be added to existing room systems. However, there will be functionality changes that will be necessary to make this upgrade work. For example, Teams system commonly operate with Microsoft’s native user interface. When designing an existing room system upgrade, this often requires replacing the existing touch panel controller, and or editing the system to accommodate the user of a Microsoft Teams rooms system. The design process and complexity will vary depending on each room scenario.

How does Teams licensing work?

Teams licensing for Teams rooms is a seemingly small, but important detail. Room resource licenses need to be created in Teams. The property name, password and resource attribute needs to be assigned in order to make sure that the back end licensing is provisioned before the room system can be turned on and ready for use.

Factors to Consider for Your Budget

Room cost can vary. Room equipment can be $3,000-$25,000 per room on basic, Native Teams room systems. There are a few other factors to consider such as the room’s size, acoustical requirements, general location, and equipment upgrades.

How much does a Teams room cost, including installation?

  • Huddle room - $9,000-$18,000
  • Small conference room - $15,000-$25,000
  • Large conference room - $25,000-$45,000.
  • Custom room systems - $75,000-$100,000.

Additional Equipment: the estimates above do not include ceiling microphones, which can range from $1,500-$5,500. Additional camera equipment also adds to the budget, with each camera adding $2,500-$4,500 depending on the quality and capabilities.

Displays: the size and quantity of your displays, as well as mounting systems, can contribute to cost. Also consider if you can store equipment behind the displays or if you will need a credenza-based rack to accommodate the equipment requirements.

Microphone System: Teams works with off the shelf, packaged microphone systems for a cheaper solution as well as professional audio DSP systems that provide a higher quality audio experience.

Proper System Wiring: This is often an overlooked part of the budget planning process. Typically, professional system wiring includes concealed wiring, such as microphones being wired into the table and touch panels needing a cable cubby to hide additional wires. Keep in mind, rack equipment, additional wire, and physical wiring can also come into the equation.
